Meeting was held hybrid—in-person and via Zoom. Members in attendance: Chair Sharon Trask,Mark
Neary,McKenzie Smith,Jennifer Beierle,Rachel Hansen,Duane Wilson,Deidre Peterson,John DeLeva,
Taylor Jacobs, and Greg Oldham.
1. Chair Trask called the meeting to order at 10:01 a.m.
2. Review Request for Proposals(RFP)for Tourism Development and Marketing/Small
Festival Support
Rachel requested that the RFP for Director of Tourism include the ownership, storage, and
transportation of tourism assets as well as knowledge of the WildSideWA app. Taylor added that
evaluation criteria should include the analysis of the app as well as strategy for the next year.
Quarterly reports should be presented in person.
Welcome Center reserves were discussed. Jennifer shared that a specific amount can be
designated, and future funding could be calculated. Deidre shared support designating existing
funding to declare intent. These funds can be unencumbered later and moved back into the LTAC
fund.
Deidre/Rachel moved and seconded that the LTAC recommend to the Board of County
Commissioners that a portion of unreserved fund balance for lodging tax be designated to
the Welcome Center,amount to be calculated by staff based on prior minutes.Motion
carried.
Specific funding percentages was discussed.
Taylor/Deidre moved and seconded to set percentages at 25% for services that support
tourism and cultural attractions in Mason County,60% for the Director of tourism
development for Mason County, 10% for the Welcome Center, and 5% for reserves. Motion
carried.
For the RFP for the Director of Tourism Development,the following changes were
recommended: removal of double spaces; Section II Statement of Need—addition of the word
"knowledge"regarding the Wild Side Guide and WildSideWA App and"continued development"
instead of the word management, addition of quarterly reports to be presented in person to LTAC,
addition of"Contractor is also designated to maintain small assets"; Section III Form of Proposal
—addition of"analyzation of existing digital assets and proposed endorsement over the next two
(2)years"as item 9; Section IV Evaluation Criteria—addition of"analysis of the WildSideWA
App and strategy for maintenance and management for the next two years".
For the RFP for Services that Support Tourism and/or Cultural Attractions the following changes
were recommended: removal of double spaces; Section II Statement of Need—addition of
quarterly reports to be presented in person to LTAC.
Rachel/John moved and seconded to make changes as documented for the RFP for Director
of Tourism Development.Motion carried.
Rachel/Duane moved and seconded to make changes as documented for the RFP for
Services that Support Tourism and/or Cultural Attractions.Motion carried.
3. Calendar
The next meeting is July 16,2025 at 9:00 a.m.
