HomeMy WebLinkAbout2017 North Mason Resources Office Lease2017 North Mason Resources Fee Use Office Lease Agreement Between North Mason Resources (NMR) (party A) Physical: 140 NE State Route 300 Mailing: PO Box 2052 Belfair, WA 98528 And Mason County (Veteran Assistant) (party B) Mason County Commissioners 411 N. 5th Street Shelton, WA 98584 I. Purpose and Scope The purpose of this lease is to clearly identify the roles and responsibilities of each party as they relate to use the offices at the North Mason Resources (NMR) at 140 NE State Route 300, PO Box 2052 Belfair, WA. 98528 NMR will provide operational space for multiple agencies, and partner with them to provide services to the economically challenged residents of Mason County who are requesting services. To support this goal, Party A and Party B will conduct business together with the goal of providing as many services as is reasonable in a one -stop -shop location. Both Party A and Party B should ensure that program activities are conducted in compliance with all applicable County, State, and Federal laws, rules and regulations including the set forth policies and procedures of the NMR Non -Profit Corporation. I. Lease Term The term of this lease is the period within which the responsibilities of this agreement shall be performed. The term commences July 1, 2017 and terminates December 31, 2017 and will be available for renewal upon agreement of both parties. II. Party Responsibilities Party A shall undertake the following activities during the duration of this lease: 1. Ensure adherence of Party B to applicable federal, state and county laws and regulations as well as the shared space policies of NMR. 2. Assure that building is maintained in a safe operational state, and make necessary repairs in a timely manner. 3. Will assure that the utilities are paid and working properly. 4. Will be responsible for the property expenses as agreed to with property owner 5. Will assure building is open during regular business hours, with the exclusion of holidays or inclement weather. III. Party B Responsibilities Party B shall undertake the following activities during the duration of the lease term. 1. Provide services for those clients seeking assistance as well as inform clients of other providers within NMR that may be of assistance to them to support a better quality of life. 2. Ensure that the use fee of three hundred and fifty ($350.00 USD) a month is paid promptly to North Mason Resources. Use fees are due and payable on or before the 30th day of each month for the following month's rent. 3. Adhering to the due date of the 30th of the month., please allow 7 business days for checks sent by US Mail to promptly arrive by the 30th 4. Lease is for use of approx. 100 sq. ft. private office space as well as use of shared common space i.e.: storage closet, restrooms, kitchen, utility room and hallways, which must be kept clean and sanitary for use by all providers. Providers will receive keys to the facility, and will be expected to ensure doors are secured when leaving for the day. 5. Follow all federal, state and county laws and regulations required while conducting business at the center. 6. All clients will sign a client information form upon entry. Provider will be notified that clients are present, and provider will escort client from front lobby. All client information will be kept locked up at all times and will be kept confidential. NMR will only keep track of numbers, for accurate program data collection and entry. 7. Personal client information will be stored behind a locked door, and in a locked file cabinet. 8. NMR does not employee cleaning staff, so the provider will be responsible for basic cleaning duties within their personal office space. 9. Will assure that their staff and volunteers will not interfere with the operation of North Mason Resources Staff, Volunteers or other providers. 10. Will assure that clients, volunteers and staff do not wander through the facility unescorted for the privacy and safety of all clients. 11. All staff and volunteers are required to read, review and sign a yearly: confidentiality form, hold harmless agreement and emergency contact form which will be kept on file with NMR Administrator. At any time emergency contact information changes a new form must be filed. Copies of each to be filled out within the first month of occupancy. 12. Party B will provide own personal computer and printer/printer ink. Wi-Fi is available. IVe Parties A and B agree to the following provision: 1. To treat all clients, providers, volunteers, and other staff within North Mason Resources with dignity and respect. 2 Will do their part to keep common areas clean and usable for all within the building. V. Modification and Termination 1. This agreement may be cancelled or terminated without cause by either party by giving thirty (30) calendar days advance written notice to the other party. Such notification shall state the effective date of termination or cancellation and include any final payments due. 2. Any and all amendments must be made in writing and must be agreed to and executed by the parties before becoming effective. VI. Effective Date and Signature 1. This lease shall be effective upon the signature of party A and party B authorized officials. It shall be in force from July 1, 2017 through December 31, 2017. Party A and party B indicate agreement with this lease by their signatures.
